1. Who we are
BillSmart is operated by Khandelwal Digilabs, a sole proprietorship of Raghav Khandelwal, registered as a micro enterprise under Udyam (UDYAM-MP-08-0049274), at Main Road, Ganj, Betul, Madhya Pradesh 460001, India. In this policy, “we”, “us” and “our” mean Khandelwal Digilabs, and “you” means the business that subscribes to BillSmart and the people it authorises to use the app.

2. Two kinds of data, and who owns what
This distinction matters, so we state it plainly.
- Your account data. Information about your business and the people who use BillSmart — business name, address, phone number, user names, roles and login credentials. We decide how this is handled, and we are responsible for it.
- Your business data. Everything you enter or generate while using the app — challans, party names, item names, quantities, rates, delivery records, cash memos and day-book entries. This belongs to you. We hold and process it only to run the service for you and on your instructions. If this data includes information about your own customers, you remain responsible to them for it under applicable law.
3. What we collect

We do not use cookies for advertising or tracking. The app stores a login token and a few settings in your browser so you stay signed in.
4. Voice challan (the AI feature)

जब आप बोलकर चालान बनाते हैं, आपकी रिकॉर्डिंग हमारी AI सेवा को भेजी जाती है, जो भारत के बाहर के सर्वर पर चलती है। साथ में वही जाता है जो आपने बोला — पार्टी का नाम, माल, मात्रा और भाव। चालान में सुधार बोलने पर उस समय का चालान भी भेजा जाता है। आपकी बही, पुराना हिसाब और बाकी पार्टियों की जानकारी कभी नहीं जाती।
यह सेवा देने वाली कंपनी अपनी शर्तों के अनुसार इस जानकारी का इस्तेमाल अपनी सेवाएँ सुधारने के लिए कर सकती है, और उसमें इंसानी समीक्षा भी शामिल हो सकती है। यह आपको मंज़ूर न हो तो आवाज़ वाली सुविधा बंद की जा सकती है — चालान पहले की तरह टाइप करके बनते रहेंगे।
In English: when you use voice challan, your recording is sent to our AI service provider, which runs on servers outside India. Only what you spoke goes with it — party name, item names, quantities and rates. When you speak a correction, the challan open at that moment is sent too. Your day-book, past transactions and other parties are never sent.
Under that provider's terms, the content sent may be used to improve its services, and that can include human review. If this is not acceptable to you, tell us and we will switch the voice feature off for your account; challans can still be typed as before.
We do not store your recordings. The audio is sent, converted into challan text, and discarded.
AI output is not always correct. The filled challan is shown to you before it is saved, and you are responsible for checking it.
5. Where your data is stored
- Database: your account data and business data are stored in a managed database hosted in Mumbai, India.
- Application hosting: the app runs on a cloud hosting platform. Requests may be processed at locations outside India.
- Voice feature: as described in section 4, recordings are processed outside India.
- Backups: a daily backup file is generated and sent by email to our own administrator mailbox, so that your data can be restored if the database fails. Where you have asked for it, a copy of your own data is also emailed to you.
6. How we use your data
We use it to provide and maintain the service: to run your account, generate and print your challans, show your records to the users you authorise, take backups, provide support, detect and fix errors, and keep the service secure. We also use aggregate usage figures — such as how many challans were made in total — to understand load and plan capacity. These figures do not identify your parties or your business data.
We do not sell your data. We do not share it for advertising. We do not use your business data to train any AI model of our own.
7. Who else can see your data
- Service providers we rely on to run BillSmart — cloud hosting, the managed database, the AI service for voice challan, and email delivery for backups and notices. They may access data only as needed to provide their service to us.
- Our own staff — access is limited to what is needed for support and repair, and such access is logged.
- Payment provider — when paid plans begin, a payment gateway will handle your payment details. We do not store card numbers or bank credentials.
- Law — if we are required by a valid legal order to disclose data, we will comply, and will tell you unless the law forbids it.
8. How long we keep it

Where a law requires us to keep records for longer — for example invoices for tax purposes — we keep only what that law requires.
9. Security
All traffic is encrypted in transit. Passwords and PINs are stored only as one-way hashes and cannot be read back by us. Each business's data is kept separate, and a login for one business cannot reach another's records. Access to production systems is limited and protected.
No system is perfectly secure. If a breach affects your data, we will tell you and the authorities as required by law, and we will tell you what happened and what you should do.
10. Your rights
Under the Digital Personal Data Protection Act, 2023, you may ask us to:
- tell you what personal data of yours we hold and how it is being processed;
- correct or complete data that is wrong or out of date;
- erase data that is no longer needed for the purpose it was given;
- withdraw a consent you had given — for example, to the voice feature;
- nominate someone to exercise these rights if you are unable to.

11. Grievances
If you are not satisfied with how we have handled your data or your request, contact our grievance officer:

If the matter is still unresolved, you may take it to the Data Protection Board of India.
12. Children
BillSmart is a tool for businesses and is not meant for anyone under 18. We do not knowingly collect data from children. If you believe a child's data has reached us, tell us and we will delete it.
13. Changes to this policy
If we change this policy in a way that affects you, we will post the new version here and tell you inside the app or by email before it takes effect. The date at the top always shows the current version.
